The Office of the CEO (OCEO) is seeking an experienced Executive Business Administrator to provide high level administrative support in a fast-paced environment supporting the Chief of Staffs and the OCEO team. This is a critical role supporting work needed to drive activities for the Office of the CEO. This position requires outstanding executive maturity as contact with all levels of Microsoft is constant. We are looking for an experienced Executive Business Administrator who can efficiently and proactively operate within an agile environment. You will provide unparalleled administrative support in a myriad of ways. Your primary function will be to provide calendar support for the OCEO Chiefs of Staff. Proactively managing complex Chiefs of Staff calendars with utmost attention to accuracy, timeliness and execution.
With guidance, making time management decisions on behalf of the Chief of Staffs to ensure meeting requests meet with time management priorities, performance objectives and the needs of the business.
Organizing key information and resources for the OCEO in OneNote, SharePoint, etc. and maintaining distribution lists so that they are always up to date.
Acting as a representative for the Chief of Staffs to a wide spectrum of MS employees, as well as executives and employees from outside organizations.
Arranginginternational Visa processing in a timely manner
Reconciling and submitting expense reports for the Chief of Staffs as well as assisting in some cases with other OCEO member expense reports, as appropriate.
Planning and supporting team meetings, offsites and/or morale events.
Ensuring New hire set ups are all-inclusive to create an unsurpassed experience for new OCEO employees.(Employee Central/iCIMS functions, Office setup including computer equipment, office space allocation, aliases, etc.
Procurement of goods and services, office supplies and reference materials for the team, opening purchase orders and processing invoices
Ability to prioritize and juggle multiple projects at once, including solid project-management and problem-solving skills, while following through on issues in a timely manner
Organizational, analytical and written communication skills
Able to work effectively under pressure within short time constraints, and in relatively ambiguous and complex situations
Partnering and cross-collaborating with individuals and teams in many parts of the broader company, employees, and external organizations.
Managing open headcount
Reviewing operating budget and spending, identifying near-overages and relaying findings to chiefs of staff.
Understanding the rhythms of the business to effectively provide support based on the business needs at the time.

QualificationsRequired/Minimum Qualifications
5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
Additional or Preferred Qualifications
Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
OR equivalent experience.
3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $28.46 - $48.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $39.76 - $55.67 per hour.Certain roles may be eligible for benefits and other compensation.
